Assistant to Chief Counsel - will consider hiring an Executive Assistant or Legal Secretary


The Air Resources Board (ARB) is recruiting for a motivated self-starter to join our dynamic team. The Administrative Assistant works under the direction of the Chief Counsel and is part of the Executive Office.

The Administrative Assistant to the Chief Counsel performs responsible, sensitive and administrative assignments for the Chief Counsel and two Assistant Chief Counsels with minimal direction. The duties include, but are not limited to: screening correspondence; exercising good judgment in handling confidential and sensitive issues and material; assigning items appropriately and monitoring the timely completion of documents submitted to the Chief Counsel and Assistant Chief Counsels; proofreading all documents, including speeches and reports, and reviewing the format for consistence with established standards; independently collecting and organizing information to ensure expeditious processing. Compose and prepare reports, correspondence, and other documents for the Chief Counsel and Assistant Chief Counsels, including researching and assembling background information. The Administrative Assistant will screen and research correspondence for programmatic problems and issues before they are presented to the Chief Counsel and Assistant Chief Counsels. The Administrative Assistant will prepare litigation referrals and handle matters in conjunction with the staff from the Office of the Attorney General.

The Administrative Assistant will manage the Chief Counsel and the Assistant Chief Counsels’ calendars; schedule appointments, briefings, meetings with Legislators, local officials, industry representatives, and ARB managers and staff. This person will provide backup support to other Administrative Assistants within the Executive Office; screen visitors and phone calls from the Governor’s office, Agency, members of the Legislature, government officials, and private industry, using a high degree of courtesy, tact, and knowledge of the Air Resources Board programs and policies.

If hired at the Executive Assistant level, a 7.5% Pay Differential is added to base salary. This is already reflected in the Executive Assistant salary listed below.


Competitive candidates should have experience working with high-level officials and have a working knowledge and experience with legal documents and processes, be professional and have strong organizational, communication, attention to detail, and excellent computer skills. Candidates must have the ability to work independently and as a team member using good judgment and work cooperatively and effectively with others; ability to communicate and give direction; ability to display tact and poise; ability to be proactive and to define logistical problems; ability to act decisively; and the ability to work effectively under pressure to meet short deadlines and last minute changes.

Applicants should also be willing to work long hours if necessary and travel occasionally.

The most highly desirable candidates will possess:

  • Proficiency in Microsoft Word and Outlook applications, Adobe Professional, and a working knowledge of Excel, Access, and SharePoint
  • Excellent communication, customer service, writing, and editing skills
  • Ability to work effectively and cooperatively with a diverse working environment, including stakeholder groups, the public, and other government agencies
  • Strong interpersonal and project management skills are absolutely necessary
  • Ability to work proactively and efficiently on multiple projects with strict deadlines is expected
  • Creative, self-starter, strong attention to detail, with the ability to tackle challenges effectively
  • Flexibility and willingness to learn and thrive in an environment of change
  • Work experience in a legal office
  • Punctuality and good attendance is required

    Current State employees who are in the Administrative Assistant, Executive Assistant or Legal Secretary classifications or have transfer eligibility. Persons who have list eligibility for the Administrative Assistant, Executive Assistant or Legal Secretary classifications. May consider qualified candidates in the following classes: Executive Assistant and Legal Secretary (Duties will be adjusted based on classification level.)
