Job duties include but are not limited to: Under the general direction of the Warden, the Executive Assistant provides and directs critical secretarial support services and staff assistance on Institutional/Departmental matters regarding a variety of highly sensitive and complex issues. The Executive Assistant provides a high level of confidential administrative and secretarial services and analytical support on sensitive institutional and program issues in the management of the institution; maintains hard files and an automated filing system for incoming/outgoing correspondence files; maintains an automated ticker system to ensure critical due dates are met; acts as liaison between the Warden, the executive and institutional staff regarding highly sensitive departmental and personnel issues; screens, redirects and/or responds to telephone inquiries and correspondence from the Governor’s Office, Legislatures, headquarters, the public, departmental administrators, the media, other institutions, and community agencies relating to institutional operations; receives researches, and processes confidential and highly sensitive departmental/program issues; analyzes, composes and prepares correspondence and institution reports for the Warden’s signature; prioritizes incoming requests and information, determining what requires direct and/or immediate attention; maintains an automated logging system for all incoming/outgoing correspondence; reviews and edits documents and correspondence prepared by institutional staff for completeness, format, accuracy and composition; attends Executive Staff and Morning Executive Briefing sessions, records and distributes meeting minutes; reviews and edits a variety of highly sensitive and/or confidential issues relating to labor relations, adverse actions, performance appraisals, grievances, public and media information, and other similar issues for the Administrators signature; answers and screens telephone calls, takes messages, greets visitors and maintains institutional calendar for the Warden; performs other duties as required.
