Independently, or under general instructions, composes and tracks correspondence on a wide range of subjects requiring a thorough knowledge of procedures and policies of the California Department of Education, especially the Office and Division; edits and proofreads documents; copy, scan, and file documents; prepares office supply orders. Independently establishes and maintains logging and tracking systems to produce various statistical reports to implement and evaluate program activities. Provides technical and computer support including using Word and Excel to the professional staff in the development of program initiatives, policies, and directives.
Organizes and prepares materials for dissemination at workshops and conferences; and serves as the unit’s Information Technology (IT) Coordinator and IT liaison between the unit and division IT Coordinator. Make appropriate travel arrangements; reviews travel expense claims, which includes outside consultants’ travel claim reimbursements; prepares travel request packages and assists staff with travel arrangements.
Gathers data; along with other information, as directed by other office staff.
Maintains appointment calendars and itineraries for the administrator and consultants; schedules meetings and answer/screen telephone calls and e-mails from department staff, other state agencies, and the public; determines appropriate referrals to unit staff and follows-up to meet deadlines. Arranges meetings and conferences, prepares agendas, attend meetings to take notes or summarization for minutes, and prepares and distributes minutes. Where appropriate, provides information on established programs, policies, rules and regulations by using considerable judgment in responding to questions.
Tracks status of correspondence and assignments for staff and performs other duties as assigned.
