Under the direction of the SSM I Financial Management, Benefit Enrollment Technology Support (BETS) Division, the MST provides administrative support to the SAWS project management staff. The MST performs these tasks in a dynamic environment involved in the implementation of major statewide information technology (IT) projects and is required to work independently and as a member of a team, as appropriate.
ESSENTIAL DUTIES: Provide assistance to SAWS management staff and other project staff by conducting analytical research on sensitive program issues and responding to inquiries on these issues. Ensure timely and accurate delivery of products; respond to internal and public information and/or action requests from various sources. Prepare and ensure the accurate development and release of sensitive and confidential communications in compliance with state policies, processes and protocols; and exemplify strict confidentiality with all sensitive documents and communications. Receive and file project documents into electronic document management system (iManage): Responsible for posting project documentation, version control, and consolidation of documents to ensure current versions are displayed. Assist staff in the retrieval of project information and other documents.
Enter incoming Advance Planning Documents (APDs) into the APD tracking log and database, and assign to analyst for review. Maintain the Risk and Issues tracking log. Develop and maintain procedure manuals, logs, and other tracking mechanisms. Review and edit documents for grammar, format, content, etc. to ensure all products meet appropriate standards. Assist financial analysts with County Allocation Letter process: Route for signature, scan, email to appropriate staff, and archive final versions in iManage.
Coordinate in-state and out-of-state travel and prepare travel expense reports using CalATERS for management and other staff. Organize, coordinate and maintain calendars for management staff; schedule meetings with both internal and external attendees. Prepare presentations, agendas and hand-outs, and track action items for meetings.
Attendance coordinator for time reporting; ACAL, timesheets, record on 627 report, and use of LAB report to reconcile. Process incoming and outgoing mail by sorting and distributing to appropriate staff. Maintain supply room; perform inventory, coordinate supplies and equipment, including maintenance and ordering. Coordinate asset management functions. Complete training requests and LAN General Entry and Exit forms for new and separating employees. Assist in recruitment/hiring activities: schedule candidates for hiring interviews, and assist with the preparation of hiring interview packages for interview panel members.
Assist with centralized reception duties as needed. Welcome visitors, upholding all security policies, and demonstrating excellent customer service skills. Answer and direct telephone calls to appropriate staff. Provide technical and office support to SAWS staff.
