DESCRIPTION OF DUTIES:
Under the close supervision of the Office Services Supervisor I (OSS) I, the Office Assistant (Typist) (OA) (T) is a entry, trainee, and journey level position expected to perform a variety of clerical duties requiring adaptation to various situations, judgment as to which learned work method to apply for the desired result, and the ability to communicate effectively, in support of Imaging Services, for Allied Health Services (AHS). The incumbent types documents, files, re-files, photocopies, faxes, scans, and pulls California Correctional Health Care Services (CCHCS) patient-inmate documents for Medical Imaging, ensuring materials are filed and maintained in a secure manner.
45% Purges and destroys all medical imaging files that have met retention of ten years, per CCHCS, state, and federal laws, rules, and statutes. Files all medical imaging film files in terminal digit (TD) order; digitizes and/or uploads relevant prior examinations for add-ons of urgent examinations for Radiologist and provider comparison within of notification. Uploads and digitizes relevant prior examinations for Radiologists and providers comparison at least one day prior to patient-inmate appointment/ducat date. Performs a quality assessment of medical images per departmental policies and procedures, including but not limited to visibly inspecting scanned images to ensure they are scanned straight and right side up, and ensuring that the body part in the images matches what they have been requested to scan; ensuring the documents pertain to the correct patient-inmate’s records.
35% Types, faxes, and/or e-mails correspondence and related documents to institutions regarding the status of patient-inmate medical images when necessary; responds to telephone inquiries within a reasonable amount of time according to established policies for release of information. Transfers telephone inquiries to proper staff and/or relays telephone messages, when requested. .
15% Recognizes minor and major equipment issues and troubleshoots minor equipment for repairs/maintenance on imaging equipment and notifies supervisory staff of all major equipment issues immediately.
5% Performs other related duties as required.
KNOWLEDGE AND ABILITIES
Ability to: Perform clerical work, including ability to spell correctly, use good English; make arithmetical computations; operate various office machines; follow oral and written directions; evaluate situations accurately and take effective action; read and write English at a level required for successful job performance.
Ability to type at a speed of not less than 40 words per minute from ordinary manuscript or printed or typewritten material.
