The Secretary of State’s office is recruiting to fill a full-time, permanent Office Technician (Typing) position in the Business Programs Division’s Legal Section.
Duties: The incumbent is responsible for the preliminary preparation, initial review, tracking and final processing of documents submitted to the legal staff. These documents are primarily the most difficult business entity merger, conversion and amendment documents. Answer and record a variety of telephone inquiries regarding document filing requirements and the status of work in progress. Independently research information and Secretary of State records in order to respond to such inquires. Perform routine administrative tasks for the legal staff. Prepare, process and/or type a variety of correspondence and reports, make travel arrangements and prepare travel expense claims and other reimbursements for the legal staff, distribute reports and publications, maintain the law library and open and distribute mail. Answer, screen, and route telephone calls received in the administrative and legal sections for Attorneys, administrative staff and the Division Chief and act as backup to the Division Chief’s executive assistant. Review and screen correspondence directed to attorneys and the Legal Unit and either respond or route to the appropriate party. This includes answering program specific and/or general program questions and maintaining a familiarity with current laws, rules, policies and procedures pertaining to the filing of documents with the Secretary of State’s office. Conduct workload counts and prepare workload reports and statistics. Provide general administrative support to the Legal and Administrative Section.
Desirable Qualifications: The Business Programs Division’s Legal Section is seeking a flexible and energetic person with strong communication skills and the ability to interact effectively with all levels of agency staff and the public. The ability to meet deadlines, take initiative, work independently and serve on teams are all desirable qualifications. Punctuality and good attendance are essential. Working knowledge of Microsoft Word and Excel are a must.
