California Department of Corrections and Rehabilitation Human Resources Office of Workforce Planning and Selection Customer Service Office Technician (Typing) Duty Statement 065-571-1139-003

Under close supervision of the Staff Services Manager I, the Office Technician (OT) serves in the capacity of primary liaison for the Office of Workforce Planning and Selection (OWPS) and their customers. The incumbent provides daily telephone and front counter coverage responding to a variety of inquiries. This includes communicating with a variety of internal and external entities, including special interest groups, the general public, potential applicants, and candidates.

40% Front Counter Support Responsibilities: Provides daily phone and front counter coverage; receives incoming calls, email inquiries or walk-ins; explains advises and assists inquirers with the selection and recruitment processes; advises and explains examination processes; distributes written documentation regarding areas such as general recruitment/testing information, examination bulletins, and testing dates to customers; processes incoming and outgoing mail, emails and faxes; and assigns, logs, sorts and distributes letters, documents, memorandums and reports to staff.

30% Office Responsibilities: Processes production requests for OWPS in the areas of appeals, bulletins, mass mailings, and major printing jobs; files materials accurately to ensure OWPS is in compliance with the records retention schedule; develops, edits, proofs, and types documents; creates, updates and maintains reports and records accurately; documents issues and solutions; performs data entry work; inputs and disseminates information; tracks documents, appeals, and files accurately; copies and scans documents; and schedules appointments, meetings, and interviews for supervisors or staff.

20% Examination Receptionist Responsibilities: Reviews candidates’ identification for admittance to written tests, pre-interview exercises, and/or Qualification Appraisal Panels (QAP) interviews; monitors candidates to ensure cheating does not occur during pre-interview exercises; instructs candidates on completing examination forms; and ensures all candidates participating in timed pre-interview exercises are allowed the same amount of time to complete the questions.

10% Special Projects, Assignments and Reports: Researches, analyzes and completes special projects, assignments and reports. May complete some or all of the following: serve as backup to the attendance coordinator; process access card requests for new or leaving staff; backup the training liaison; maintain the OWPS Office Chief’s calendar; update the office phone/email listings; and assist with budget/procurement duties, such as processing invoices, verifying advertising, updating databases, tracking and documenting CAL card usage; ordering supplies and equipment; maintaining proper stock levels for office supplies; and making service calls for equipment as needed.
