The Secretary of State is seeking to fill multiple permanent, Limited Term full-time Supervising Program Technician II vacancies. If you enjoy a fast paced and changing environment, this job may be for you. The positions are located in downtown Sacramento, near Light Rail, K Street Mall, and other amenities.
The Duties: Directs, monitors and evaluates the work of staff, which may include Program Technicians II, Program Technicians, Office Assistants and/or Student Assistants. Maintains performance standards, ensures priorities and goals are accomplished and assignments are properly completed. Prepares technical responses to difficult correspondence, where research, analysis and interpretation of statute or regulations are needed. Interacts professionally with the public, via the telephone, mail, email and in person regarding filing documents and/or information requests, difficult questions or general inquiries. Participates in the scheduling and interviewing of candidates to fill vacancies within the division and makes recommendations on the selection of staff. Trains new employees on office procedures and statutory filing requirements; ensures employees abide by the Agency and Division policies and procedures, civil service practices and policies, and the mission of the Secretary of State’s office. Conducts employee evaluations, initiates letters of commendation, schedules meetings with employees to encourage, motivate and to provide opportunities for individual development. Is responsible for maintaining accurate attendance records, identifying and addressing employee attendance problems, and preparing memos and disciplinary actions and handling complaints that may arise. Prepares weekly and monthly activity reports summarizing the units workload statistics; oversees records maintenance; monitors equipment; assists with evaluating the need for new equipment; oversees office supply orders and orders for repair service of equipment. Works with supervisor or analyst in the initial preparation, modification, and storage of forms and documents.
Desirable Qualifications: This is a full supervisory position. The ability to learn the technical aspects of the program is needed to direct the work of the staff and work along with the staff on the completion of daily assignments, and to facilitate the efficient review, processing of documents, and resolution of challenges to filing requirements. The supervisor must have operational knowledge of program office equipment and computer systems. The supervisor must have the ability to interact effectively with the public and departmental program personnel, the willingness to learn new duties, and the ability to meet deadlines. The supervisor must be able to take initiative, utilize tact, and be confidential with program and personnel information.
Who May Apply: In accordance with Government Code Sections 19080-19083 this position is established for 12 months; and it is anticipated the duration of the position will be extended to 24 months. Applicants must have current list, transfer or reinstatement eligibility for Limited Term, full-time appointment to the Supervising Program Technician II classification. All appointments are subject to State Restriction of Appointment (SROA) provisions. Only the most qualified candidates will be interviewed.
