The Department of Real Estate has an opening for a Seasonal Clerk in its Enforcement Section. The department is located at 1350 Front Street, Suite 3064, San Diego, CA. 92101-3687. This position is limited to 1500 hours in a calendar year.Duties and Responsibilities of the position include:Perform record management functions on a continuous basis for the Unit which includes but is not limited to filing, creating, organizing and maintaining the Unit’s files including case folders (in numerical order), complaints, referrals and other correspondence as directed by Staff; record material accordingly; maintain and purge files according to the Office’s Records Retention Schedule. This requires the use of a personal computer and various Microsoft Software, such as Word, Excel, Outlook, etc.Answer, screen and redirect, or respond appropriately to telephone calls from public officials and their staff, high level industry representatives, and other public or private agency executives, and the general public, provide general information and/or refer calls to appropriate staff members. Receive, review, date stamp and distribute incoming mail, which is often of a sensitive and confidential nature to the appropriate staff in accordance with Office procedures and guidelines. Distribute afternoon outgoing intra-departmental and US postal mail. Check fax machine for incoming material, collate and distribute as appropriate.Operate the office copy machine, printer, facsimiles and other basic office equipment. Duplicate (Xerox) and Fax various documents as requested such as forms, case material and training aids. Handle documents of a highly confidential and sensitive nature such as social security numbers, bank records, personal information, etc.Required Qualifications:Ability to process large amounts of work with speed and accuracy.Must be dependable, reliable and maintain good attendance.Ability to shift priorities to meet deadlines.Good interpersonal skills with the ability to work well with staff at all levels.Ability to follow specific oral and written directions.A self-starter who can work independently or as part of a team.Desirable qualifications:Experience working in an Office Setting. Experience working with high level officials. Experience in a customer service environment dealing with difficult customers; possess professional phone etiquette skills and experience working a multiline telephone system, etc. Experience working with confidential material. Experience using Internet search engines.Ability to communicate effectively, using good interpersonal and customer service skills.Knowledge of and experience working with PCs and software such as Microsoft Excel, Microsoft Word, Outlook, and PowerPoint; and ability to type using a computer keyboard and/or typewriter.Ability to file accurately using numerical and alphabetical filing systems.Ability to spell and copy numbers and letters accurately. Ability to multi-task, i.e., respond to multiple tasks for multiple people with ease. Ability to work as a team player to meet common goals. Ability to operate various pieces of office equipment, such as scanners, copiers, fax machines.
