Under the general direction of the Merit Appeals Managers, the Office Technician position requires a high degree of confidentiality while demonstrating the ability to work independently; excellent attendance, an ability to prioritize and efficiently schedule work, strong verbal and communication skills, and the ability to tactfully and effectively interact with members of the board, government officials, and stakeholders. The Office Technician performs the following:
Description of the Essential Functions:
60% Primary Receptionist for Appeals Division. Responsible for answering phones; referring incoming correspondence and calls to appropriate staff; greeting visitors; coordinating meetings and conference calls; receives and distributes Appeals Division mail to appropriate division staff; processing outgoing case related correspondence and other materials for parties; composing letters and memoranda; organizing and maintaining office files; managing and maintaining office equipment and furniture; and ordering and organizing supplies. Will also provide basic case related information to requestors.
20% Provides backup coverage for Executive Secretary. This involves coordinating travel arrangements for Administrative Law Judges, supporting the Chief Administrative Law Judge, preparing appropriate forms and documentation for procuring supplies and services, and generally supporting executive staff as needed. Assists with timekeeping and reporting daily attendance.
10% Responsible for uploading various documents to the Appeals Case Tracking System and scanning documents as needed using appropriate hardware and software.
10% Assists with various projects and other duties as required.
