Job Description:

Under the direction of the Chief Enterprise Technology Investment Division, the incumbent is responsible for performing difficult and responsible secretarial work and relieving the Chief, Enterprise Technology Investment Division, of a variety of administrative and non-routine office details, requiring the incumbent to consistently exercise a high degree of initiative and judgment, confidentiality, independence, and originality. The incumbent shall assume responsibility without direct supervision and make decisions within the scope of given authority. Maintain Division Chief’s working calendar by initiating, planning, and scheduling meetings allowing ample time for the Division Chief to get from meeting to meeting. Relieve the Division Chief of routine administrative details such as writing memos, letters, reports, preparation of presentation through various software application such as Word, Excel, and PowerPoint. Provide thorough status and documentation for all division’s request. Review and proofread Feasibility Study Report (FSR), Special Study Report (SPR), and Post Implementation Evaluation Report (PIER) to ensure that it is in conformity with departmental correspondence procedures/policies as well as for format and grammatical construction. The incumbent is responsible for tasking and tracking assignment through Director’s Office Tracking System (DOTS). Research, gather, and summarize data independently or as instructed, prepare correspondence on a variety of subjects based on knowledge of the procedures and policies of the Information Technology (IT) organization.

DESIRABLE QUALIFICATIONS: Must have an understanding of the principles and practices of public administration, including supervision and management, cost/benefit analysis, budgeting, and project management and evaluation. He/she must be able to set Branch objectives, develop comprehensive work plans, and evaluate the effectiveness of staff in accomplishing those objectives and work plans. The incumbent must have a thorough understanding of current technology environments. The incumbent must be able to deal effectively with IT users and with departmental management, and must be able to make effective written and oral presentations.
