This Office Technician is responsible for establishing clerical procedures and independently performing the more difficult clerical duties for the Nutrition Programs Administration (NPA) Staff Services Manager II (SSM II). The NPA administers the Northern and Southern School Nutrition Programs Units, the Child and Adult Care Food Program Unit, and the Summer Food and Data Management Unit which provide statewide policy and program support of federal and state school and community nutrition programs in schools, residential child care institutions, child and adult day care centers, and summer food program sites.
Provide direct secretarial and administrative support to the SSM II
Type, edit, and format written documents – memos, Management Bulletins, letters, reports, and manuals. Perform mail merges as requested
Review documents for format, grammar, spelling, and content consistent with the Correspondence Guide
Maintain the SSM II’s schedule. Arrange for appointments and travel, conferences, and staff meetings
Process Unit attendance, mail, procurement, fax and e-mail correspondence, and update/distribute the weekly itinerary
Excellent writing and communication skills
Ability to effectively prioritize important task and ability to handle multiple tasks
Excellent telephone skills and ability to work with a wide variety of people
Working knowledge of the Microsoft Office Suite
Self-motivated and ability to work under pressure
Ability to handle time sensitive issues and solve problems creatively
