Under the general supervision of the Staff Services Manager I in the Office of Financial Accountability and Information Services, and in cooperation with other support staff within the office, this position will perform a variety of tasks to support all levels of staff within the unit. In addition to the support staff, the unit includes analysts and consultants who review, analyze, and monitor the fiscal solvency of county offices of education, and advise and assist school districts and county offices in areas related to budgeting, accounting, and reporting financial information. The incumbent must be able to work independently, is often required to perform difficult work assignments, and must be able to communicate clearly and exhibit tact and sensitivity in working with department managers, staff, and school district and county office of education officials.
Use personal computer to create, format, edit, and finalize documents, including correspondence, reports, spreadsheets, databases, organizational charts, complex charts and tables, contracts, mail merges, and accounting and software manuals. Review and edit documents for grammar, punctuation, spelling, format, and consistency with the department’s style manual. Independently compose correspondence for signature of Staff Services Manager in accordance with department procedures and guidelines.
Perform general office duties, including creating and maintaining an office filing system, answering and responding to calls and e-mails or directing them to appropriate staff, faxing, photocopying, preparing mass mailings, contacting state and local governmental agencies by telephone and e-mail regarding sensitive issues, updating various legal code binders and manuals, and receiving and determining appropriate staff for distribution of incoming mail.
Attend and participate in project status meetings; follow up with participants as required.
Prepare documents and maintain records, including ordering office supplies and tracking the status of purchase requisitions, stock received reports, and payment of invoices. Prepare and process training requests.
Organize meetings, including reserving rooms, preparing agendas, compiling and assembling materials, coordinating travel arrangements for participants, and ensuring all details are completed. Prepare travel advances and reimbursement documents as directed.
Ability to communicate clearly and effectively with department staff and the public. Perform difficult work assignments; exercise a high degree of initiative and independent judgment. Strong personal computer skills working with a range of software, including Microsoft Word, Excel, Access. Ability to work independently and as a team member; good attendance and punctuality.
