Under the direction of the Chief, Program Support Unit (PSU), the Office Technician, Typing provides clerical support for various projects in the PSU. The duties performed and responsibilities associated with this position, requires a high level of clerical skills, initiative, independence of action and good judgment.
35% Independently, or with minimum direction, compose correspondence regarding meeting notices, report submittals, and general requests for health care program information using Word software and/or other departmentally approved software programs. Collect data, type reports, letters, and memorandums, as assigned. Perform periodic tracking for various monthly budget document productions, documents related to fiscal management, program compliance, and provide follow-up to managers and support staff regarding issues or assignments. Process documents for approval and signature by executive staff; track and follow-up on documents in the approval and signature process to ensure that established due dates are met.
30% Prepare statistical charts and graphs using Excel and databases developed for monitoring and evaluating fiscal compliance with the Division of Correctional Health Care Services programs (e.g., depicting statewide fiscal comparisons/projections in various formats), and preparation of monthly fiscal management reports and ad hoc reports as requested.
20% Develop, maintain, and perform periodic tracking of assignments. Ensure easy retrieval of all field data and documents. Provide general clerical support and perform other clerical duties as required, such as answering telephones, taking telephone messages, faxing, photocopying, general word processing, processing mail, and acting as a messenger and/or courier. Interact with division and field staff, members of the general public, executive level staff, and when appropriate personally respond to requests or make appropriate referrals.
15% Attend meetings and take meeting minutes; prepare agendas for meetings; arrange meetings, including scheduling participants and meeting rooms using departmentally approved software programs; ensure appropriate documents are available for meetings; and provide administrative support for unit staff, including transportation, lodging, travel advances, and travel claims. Based on operational need performs other duties as required.
