Duties of the Position:

Under supervision, the Office Assistant (Typing) in the Provider Enrollment Division (PED) is responsible for clerical support of activities related to enrolling/re-enrolling providers and applicants into the Medi-Cal fee-for-service program including processing incoming mail; open, prep, and distribute/file incoming applications, correspondence, and other documents. Duties also include screening and sorting provider applications and correspondence, entering information into the Provider Enrollment Tracking System (PETS) database; preparing documents for scan and other general clerical duties as assigned.


Percent of Time Essential Functions


60% Review and use typed responses to correspondence through the division’s PEDCorr mailbox. Respond with a typed response to providers, their legal representatives and members of the public on issues related to Medi-Cal provider applications such as the application process, application forms, status checks, retroactive date requests, deficiency letters, denials, billing claims, licensing and certification, and rates. Create mailing labels and memoranda for Admin Chief as needed. Enter typed notes into the Provider Enrollment Tracking system (PETS) database briefly summarizing disposition of correspondence. File and maintain the chron correspondence files.


Process incoming correspondence; open, sort, prep, log-in, and distribute/file to analyst and other incoming documents. Screen and sort provider applications and correspondence, input into PETS for assignment to appropriate analyst for review. Performs photocopying tasks, assembles and files various provider applications.


15% Assist in the resolution of returned 1099s and B-notices from providers using typed responses to correspondence and telephone responses. Research, prepare and type written recommendations to management, resolving mismatches between the legal name and tax identification number of providers. Prepare input documents, enter typed notes in the PETS database, and send documents to scan.


10% Acts as the backup to the Attendance Coordinator, inputting leave usage into the HRIS tracking system.


10% Photocopy documents in response to requests for certified copies; Perform Ergonomic Evaluations for the Division; Schedule meetings and conferences for the Unit. Shred confidential materials for the Division. Stock paper at copy and fax machines and printers as needed. Order and account for all supplies and equipment for the Division.

Facilitate Telecom service requests for the Division; coordinate phone and fax machine hook ups for all new, transferring and separating employees, as needed. Schedule interviews; greet and direct applicants to interview site for the Division.

5% Performs other duties as required.
