Job Description:
Proofread and type tentative and proposed agenda items and daily correspondence for technical staff that includes waste discharge requirements, enforcement actions, resolutions, public hearing notices and rescissions from both handwritten and typed rough drafts. Assist with the preparation and mailing of the agenda packet for monthly board meetings. In absence of other clerical staff, assumes primary responsibility for the preparation and mailing of agenda packet. Independently enters violations and dates received into California Integrated Water Quality System (CIWQS) that tracks Regional Board regulatory and enforcement activity. Produces CIWQS reports for supervisors, managers and technical staff that would be used to identify and track program priorities and progress towards meeting commitments. Enters spill information in Access database and produces monthly Spill Reports that are included in monthly agenda packets. Greet the public politely and professionally. Perform closing procedures for the office. Responsible for assisting the public with file reviews. Mail duties include opening, stamping, logging and routing mail to appropriate staff. Provide assistance to technical staff in a variety of areas, including but not limited to photocopying and making conference room reservations. Inventory all office supplies; including toner for fax machines and copiers, as well as paper for the same. Processes Travel Expense Claims and Training Requests. Maintains office copier meter readings, and is key operator for copiers, fax machines and postal equipment. Independently schedules equipment for servicing as needed. Provide assistance to the AO, as needed, for special projects. DESIRABLE QUALIFICATIONS: Ability to establish and maintain cooperative working relationships with a variety of people. Ability to organize and work independently while handling multiple assignments. Ability to communicate verbally and in writing effectively and accurately. Ability to exercise good judgment. Must be dependable and flexible, handling changing priorities. Proficient in Microsoft Office. WHO MAY APPLY: Applicants must hold a current appointment to Office Technician (Typing) or have list, transfer or reinstatement eligibility to the Office Technician (Typing) classification.
