Office Technician (Typing) Duty Statement
Under the supervision of the Chief, Office of Employee Wellness, the incumbent performs clerical and staff support functions for the Office.
40% Independently reviews, prepares and finalizes correspondence and packages from professional staff for review and final approval by the Office Chief and Section Chiefs, and tracks status of packages and correspondence through final approval; maintains confidential office files and reference materials. Sets up meetings and maintains the calendar for the Office Chief.
20% Responds to telephone calls and inquiries from departmental staff, and external governmental agencies. Opens all incoming mail and distributes to appropriate staff; maintains tracking system and pending file for assignments to ensure timely completion.
20% Maintains and updates the assignment log; tracks information on incoming requests and updates the databases on the status or requests undergoing review and determination by departmental management; and generates summary reports upon requests. Maintains and updates weekly schedule of staffs work hours.
15% Maintains office supply inventory; orders and tracks office supplies and equipment; maintains supply expenditure report; Coordinate service request and maintains copier, facsimile machines and printers and processes and delivers confidential shred. Acts as the office timekeeper; distributes checks to staff; coordinates travel arrangements for Office Chief; processes training requests, and travel expense claims for professional staff and Office Chief.
5% Performs other support duties as assigned. This includes, but is not limited to, creative development of flyers and posters for the Peer Support Services Section.
