JOB DESCRIPTION :
Under the supervision of the Administrator I in the Audit Budget & Administration Section, the incumbent performs a variety of analytical duties related to the tracking and maintenance of the division position control information and organizational charts. The incumbent is responsible for updating the Audit Division’s position inventory, maintaining the position control system that tracks all vacancies, provides monthly detailed vacancy reports to management of planned and actual vacancies, and reconciles the division vacancy records. Reports to management on potential vacancy issues and works collaboratively with budget analyst to monitor divisional position and funding allocations, monitors and reports concerns to management. In addition, the incumbent will work closely with team members to assist with the implementation and coordination of activities associated with monthly and annual personnel services activities, coordination of 7855 packages and division organization charts. The incumbent will also act as a back-up to other administrative analysts in the section as needed.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES :
Knowledge of Audit Division’s organizational structure, mission and responsibilities
Experience working with organizational charts and an understanding of how they relate to the position control, budgetary and personnel processes
Knowledge of departmental human resources modernization efforts
Demonstrated ability to analyze data from multiple sources, develop alternatives and drawing sound conclusions
Strong written and verbal communication skills
Experience delegating, prioritizing, and multi-tasking in a dynamic environment
Well developed organizational and interpersonal skills
Ability to work effectively with people at all levels, independently, and in a team setting
Detail oriented and ability to proceed with general direction
Excellent work habits and attendance
Proficiency with Outlook and Microsoft Word/Excel; working knowledge of Access
Strong time management skills
