This position is in the Department of Fish and Game’s Office of the General Counsel (OGC). The incumbent will work under the direct supervision of the Assistant Chief Counsel and direction of the General Counsel. The incumbent will be responsible for assisting designated attorneys with legal support duties and functions.
Legal Secretary Duty Statement:
30% Type, format, file, and serve a large variety of complex legal documents in multiple jurisdictions (municipal, superior, state, federal, appellate courts, and administrative agencies). This includes detailed checking of legal citations pursuant to applicable legal style manuals. Keep current on court rules and changes in filing/processing court and other legal documents.
20% Independently compose drafts and final documents (general/legal correspondence, MOUs, MOAs, settlement documents, etc.) using accurate citations/quotations, punctuation and grammar; Independently process documents by way of scanning, faxing, copying and mailing using variety of computer software ( including Microsoft Word, Excel, Access, PowerPoint, Acrobat and other electronic databases).
20% Interact with courts, administrative agencies, governmental entities, co-counsel, opposing attorneys and witnesses on legal matters including scheduling matters such as subpoena record production, depositions, settlement meetings, and hearings.
10% Setup, organize and maintain general administrative and case file management system to include follow-up records; Track/maintain DFG’s current litigation cases and active matters, including but not limited to, incidental take permits (ITP) and pending litigation.
10% Maintain calendaring system (includes final dates to oppose, respond, or file, motions and other legal documents, and ensure that statutes of limitation are met).
5% Receive and screen visitors (including process servers) and telephone calls, providing information regarding the particular area of assignment, which may require the use of judgment and interpretation of policies and procedures or taking messages or referring the caller to the proper attorney
5% Provide more complex attorneys support: Project follow-up, transmitting information.
Excellent judgment; the ability to communicate effectively both orally and in writing; enthusiasm; the ability to work cooperatively and deal effectively with others; ability to work independently and with initiative; self-starter; dependability and the ability to adjust to shifting priorities and meeting deadlines; knowledge of legal and court rules and procedures; familiarity with litigation support activities; ability to use personal computers, including MS Word and Excel. Prior experience in a Legal Office or performing legal clerical/secretarial is preferred but not required. (Will consider filling at the Senior Legal Typist classification for recruitment purposes.)
