Job Description:

Duties:  Under the direct supervision of the Office Services Supervisor I, the Office Assistant (OA)would serve as the Area's timekeeper clerk, processing all 415 s, Daily Field Records, verifying all the information is correct and all STD 634s, Absence and Additional Time Worked Reports, keeping the CHP 444, Summary Sheet of Absence Requests, book up to date and reconciling all Area injury STD 634s with CHP 121s, Employer's Report of Occupational Injury or Illness, verifying the information on the STD 634s for injury or illness of all employees is correct, sending all STD 634s and CHP 415s corrections to Personnel in a timely manner.  Also, processing and submitting CHP 65As, Alternate Workweek Certification-Uniform prior to the start of the month for uniform personnel who are working an alternate schedule, and CHP 610s, Representation Reporting, filled out by the union representative for uniform personnel after completing CAHP matters are processed and submitted by the timekeeper.

The main function of the timekeeper is to review all CHP 415s, processing the end of the month reports and route overtime to Golden Gate Division and Headquarters in a timely manner.  Checking 415s on a daily basis, reconciling entry with the CARS reports and MIS Daily Transactions Reports, working closely with the Area sergeants and lieutenants.  Inspect incoming overtime CHP 415s and work sheets, keeping Area copies in the overtime file in preparation for the end of the month reconciliation reporting.  In addition to timekeeping, the OA will help in answering the telephones and assist other clerical staff members when the need arises.  It is expected that the OA will be cross-trained as a back-up to the CHP 180 desk and cross-train with other OAs if desired.

Desirable Qualifications:  Should have the ability to multitask and work in a fast-paced environment, with excellent organizational skills, ability to work as a team player, good attendance with punctuality and dependability, as well as a working knowledge of personal computers and office equipment.
