The Air Resources Board (ARB or Board) is seeking an individual to provide key clerical support to the Monitoring and Laboratory Division Office and Division Chief. Under supervision of the Branch Chief for the Air Quality and Surveillance Branch, this position is responsible for the following tasks: document preparation, typing, formatting and management, proofreading, and editing correspondence for grammar; making travel arrangements for staff; processing travel expense claims, coordinating meetings, conference rooms, and conference calls, directing visitors and callers to the appropriate staff; tracking of expenditures in an MS Access database; maintaining petty cash; maintaining office supplies; maintaining hard copy and electronic Division files; providing back-up clerical support to Division Administrative team and other Branches as needed; and conformance to Board administrative policies.
The successful applicant should have a demonstrated ability to (1) be a contributing team player and an effective member of an administrative support team, (2) be able to work courteously and effectively with all levels of professional staff and management, (3) perform duties in a very organized and thorough manner, (4) function under strict time constraints with a very high degree of attention to detail, (5) follow directions and handle changing priorities, (6) be punctual and dependable, and (7) demonstrate ability to gain confidence and maintain cooperative relationships with division staff and management. Excellence in customer service best describes the expectations for this position. Having excellent time management, writing, typing, and communication skills, being solution-driven, displaying high ethics, and using good judgment are all key factors for success in this position.
