The Executive Secretary I provides administrative and secretarial support for the Deputy Director of the Communication Programs Division and divisional management. The incumbent will perform diverse administrative functions requiring confidentiality, initiative, and sound judgment. Specific duties include: assist with daily calendar and task management; compose, proof, and edit memorandums and other correspondence; receives and screens telephone calls and visitors; prepare travel itineraries and expense claims; act as attendance coordinator; and ensure Deputy Director is kept apprised. Required skills include: ability to compose, write, and proof documents; proficiency with Microsoft Outlook, Word, and Excel; excellent interpersonal and communication skills to handle sensitive and confidential situations with poise, tact, and diplomacy; professional telephone etiquette; ability to handle, prioritize, and complete multiple tasks within prescribed time frames; ability to work independently, and be organized with a positive attitude and good work ethic. Desirable qualities/skills include: Dependability, strong communication/interpersonal skills; ability to complete assignments effectively and efficiently with minimal supervision. Adapt to changing priorities and deadlines, proficient in personal computer use, good organization and time management skills, works well under pressure. Alternate work week is not available. Salary posted is the actual base pay of classification. Actual base pay will be reduced pursuant to the Personal Leave Program (PLP). Fingerprint/Criminal Record Clearance required before hire. Salary Range shown is the minimum and maximum for a full time appointment.
