DUTIES:
This is a Permanent Intermittent position and may work at a maximum of 1500 hours per calendar year.
Multiple positions are available.
Under the supervision of the Staff Services Manager I, in the Transactions Unit, the incumbent will perform various clerical duties and attendance reporting. These duties require a high degree of attention to detail and efficiency to review time reports for accuracy and prepare Attendance Reports for the Personnel Specialist (PS) to key into the State Controllers PIP system. Other duties include: researching and reconciling leave balance discrepancies, printing and distributing confidential system reports on a monthly basis, accurately sorting and filing monthly time reports for all employees, providing support for the Transactions Office by receiving and screening incoming telephone calls and walk-in personnel, and providing general assistance to Air Resources Board and California Environmental Protection Agency staff when able. The successful incumbent will also be responsible for preparing administrative paperwork (e.g., new employee packets, new employee Official Personnel Folders, etc.), ensuring the employee form area is well stocked and forms are ordered when needed, ordering office supplies, distributing and stocking supply shelves as needed, and creating Personnel forms and frequently used labels as needed. The successful incumbent may also assist the PS with the completion of complex benefit enrollment forms, distribute Personnel memos and other Personnel documents (which require a high degree of confidentiality and accuracy) to staff. Other duties include: opening, date stamping, sorting, and distributing all Transactions mail to ensure outgoing mail is properly addressed and placed in the appropriate pick up bins by the daily cutoff time. The successful incumbent will also assist the PS with Official Personnel File filing and purging, and may serve as a backup to Division and Branch support as necessary
DESIRABLE QUALIFICATIONS:
Applicants should possess excellent customer service and interpersonal skills, display good attendance, learning ability, be able to work independently and as a team member, be self-motivated, be familiar with Windows operating systems, and have excellent organizational skills.
