Job Description:

JOB DESCRIPTION :
Under the general direction of the Division Chiefs (CEA) for the Audit and Administrative Services Divisions, the incumbent performs administrative assistant and secretarial duties including: assisting administrators and special study teams in completing projects and reports and in meeting deadlines; providing staff assistance on sensitive departmental or program issues; and interacting with all levels of staff

Duties specific to the Executive Office include: setting and prioritizing the division chiefs’ appointments and meeting schedules; maintaining the files of correspondence, project reports, papers, etc. used by management and analytical staff and attending meetings, recording and summarizing information and distributing as required. This position is designated as confidential.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES :

DESIRABLE EXPERIENCE/QUALIFICATIONS :
  • Knowledge of office management principles, methods, and procedures.
  • Excellent verbal and written communication skills.
  • Ability to work independently.
  • Ability to analyze situations to effectively determine its importance and respond appropriately.
  • Ability to supervise the staff of an administrative office.
  • Proficiency in MS Word, Excel, Outlook, PowerPoint and Visio.
  • Strong interpersonal and customer service skills.
  • Excellent attendance.
  • Strong organizational and multi-tasking skills.

Current state employees with status in the above classification or lateral transfers from an equivalent class, former state employees who can reinstate into this class or persons who are reachable on a current employment list for this classification. A training and development assignment (T & D) will also be considered. All appointments are subject to SROA/Surplus hiring provisions.
