Under the general direction of the Strategic Planning Branch Chief, a Staff Services Manager I, the Executive Assistant has the overall responsibility for assistance to the Deputy District Director’s (DDD) for the Division of External Affairs and Environmental Planning. This position requires knowledge of the Department’s operations and projects; an awareness of current issues; contact with high-level State/Federal Agencies, the legislature and numerous external organizations. This position performs various administrative tasks, and handles highly sensitive issues, which require the incumbent to exercise a high degree of initiative. Must be able to maintain a high level of confidentiality. Duties include but are not limited to: Scheduling and maintaining the Deputy District Director’s (DDD’S) calendar, provides the Deputy District Director with an itinerary of the day’s activities and scheduled meetings. Independently arranges for all meetings, transportation, and itineraries for the Deputy District Director. Screens incoming correspondence from division staff, legislators, media, public inquiries, etc. and assigns to appropriate staff members for reply; maintains follow-up on assignments to ensure that all deadlines are met. Incumbent initiates research and complies factual data in order to generate non-technical correspondence/reports for the Deputy District Director’s signature. Incumbent initiates memoranda(s) on routine matters, drafts responses for more difficult, policy-related correspondence from general instructions or notes for the Deputy District Director’s review. Incumbent works on special projects designated by the Deputy District Director’s.

This position is subject to CALTRANS Internal Hiring requirements. Applications will be screened interviews may be held. Preference will be given to hires from within CALTRANS and or persons with State Restriction of Appointment (SROA) or Surplus status.
